Request Form - Admin Define Questions Formatting, Links and Helper Text

This enhancement improves how admin-defined fields are configured and displayed across the Visit form. Admins can now enter longer, more descriptive Question Text and Help Text, add supporting links to field labels and guidance, and present richer Long Text content more clearly to end users.

For requesters and other users working with visits, the update makes admin-defined sections easier to understand and use. Help text is displayed in the updated Visit Info experience, links can be shown alongside configured fields, and Long Text formatting is preserved in key areas such as Review, Summary View, reports, and exported output. Fields that rely on configured dependency logic can also appear dynamically based on the selections made in the form.

Functional Summary

This feature spans both administration and end-user experiences.

From an administration perspective, admins can configure richer field labels and guidance in the admin-defined sections used for visit forms. This includes entering longer Question Text and Help Text, adding links to those elements, updating existing links, and arranging fields in the layout used on the Visit Info page.

From an end-user perspective, requesters and other supported users can see the configured content directly on the Visit Info page. Help text appears below fields when configured, links are shown where applicable, Long Text fields display rich formatting, and dependency-controlled fields can appear when the configured condition is satisfied. The same formatted Long Text content is also preserved in Review, Summary View, reports, and exported visit output.

Admin setup steps

  1. Open the relevant admin-defined section in field configuration.

  2. Add a new field or edit an existing one.

  3. Enter the Question Text and Help Text using the multi-line text areas.

  4. Add a link where needed.

  5. Enter a valid URL beginning with http:// or https://.

  6. Optionally enter a Link Name. If no Link Name is entered, the URL is used as the visible link text.

  7. Save the field configuration.

  8. Place or reorder the field in the visit layout as needed.

  9. Configure dependency logic if the field should appear only in certain scenarios.

How It Works

Adding Question Text, Help Text, and Links

When an admin adds or edits a supported field, the Question Text and Help Text areas support longer, multi-line content. Admins can also add a link beneath the Question Text or Help Text by entering a valid URL and, optionally, a custom Link Name. If no custom name is entered, the URL itself is shown.

Viewing configured Help Text on the Visit Info page

If Help Text has been configured for a field, it appears directly below that field in the updated Visit Info design. This helps requesters and other supported users understand what information is expected before completing the field.

Updating an existing link

If a link has already been added to a Question Text, Help Text, or Section Header, the admin can reopen that item and edit the saved URL or Link Name. Existing values are pre-filled during editing. Once saved, the updated link replaces the previous one and is reflected in the Visit Information experience. Updated links also apply to in-progress visits, and completed visits display the latest configured link as well.

Dependency-based field display

If a field has been configured with dependency logic, it is not always shown immediately on the Visit Info page. It can appear when the user’s selections or inputs meet the configured condition. This allows admins to keep the form focused and show additional fields only when they are relevant.

Runtime formatting in Long Text fields

Long Text fields support formatted answers. When users enter content using the HTML formatting toolbar, the formatting is preserved in the Review section, Summary View, report results, and exported visit output. Supported formatting includes:

  • Bold

  • Italic

  • Underline

  • Bulleted and numbered lists

  • Line breaks and spacing

  • Emoticons

Important Considerations & Limitations

  • Only Long Text fields support rich HTML-style answer formatting.

  • A link can only be saved with a valid URL that begins with http:// or https://.

  • Entering a Link Name without entering a URL is not allowed. In that case, Save remains unavailable and the user is prompted to enter a valid URL.

  • If no Link Name is entered, the URL is displayed as the link text.

  • Help Text appears only when it has been configured for the field.

  • For Account Manager visibility, field-level visibility settings still apply. If a field is hidden from Account Manager, that user will not see the related Help Text in the Visit Info experience.

  • Fields controlled by dependency logic may remain hidden until the configured condition is met.

  • The order of admin-defined fields is preserved in downstream views such as Review, Summary View, and exported output.

  • Changes made by admins to links, field order, or field setup are reflected in the live experience without requiring fields to be recreated.

FAQs

Can admins enter longer Question Text and Help Text than before?

Yes. Question Text and Help Text now support multi-line entry, which is better suited for longer labels and guidance.

Can a link be added to both Question Text and Help Text?

Yes. Supported fields can include a link for both Question Text and Help Text.

Can a section header link be updated later?

Yes. Existing links on section headers can be edited, and the updated values are reflected in the live experience after saving.

What happens if no Link Name is entered?

The system uses the URL as the displayed link text.

What happens if a Link Name is entered but the URL is blank?

The configuration cannot be saved. A valid URL is required before the link can be used.

Which fields support the formatting toolbar for answers?

Only Long Text fields support formatted answer entry.

Where will formatted Long Text content be preserved?

Formatted Long Text content is preserved in Review, Summary View, reports, and exported visit output.

Will updated links apply only to new visits?

No. Updated links are reflected for future and in-progress visits, and completed visits also display the latest configured link.

Why is a field not appearing on the Visit Info page?

The field may be controlled by dependency logic, may not be placed in the layout, or may not yet meet the configured display condition.
