Off Site Visit Location Field Uses and Roles

Overview

This release introduces enhanced visibility and accessibility of Off-Site Visit Location details across key areas of the application.

Users can now quickly view off-site venue information directly from Visit Cards, without navigating into the visit. The feature improves usability by providing summarized location details with the ability to expand and view full information in a structured format.

Additionally, Off-Site Location data is now consistently available across reports, UI views, and templates, ensuring better visibility and reuse of visit location information.

Off-Site Visit Location – Overview

The Off-Site Location field captures venue details when a visit does not take place at a standard on-site location.

This enhancement ensures that:

• Users can quickly identify where the visit is happening

• Location details are accessible without additional navigation

• Long or formatted location descriptions are handled gracefully

How It Works – User Flow

Viewing Off-Site Location on Visit Card

1. Navigate to Home / Schedule / Room Assignment

2. Locate an Off-site visit

3. Hover over or expand the Visit Card

4. View the Off-Site Location preview

Understanding Location Preview Behavior

• The system displays:

  • First 100 characters of the location text

  • Followed by ellipsis (…) if truncated

• Formatting (line breaks, spacing) is preserved

• Font size is standardized for consistency

Viewing Full Location Details

1. Click Show More on the Visit Card

2. A popup opens with full details

Popup includes:

• Title: Off-Site Location Details

• Full location content (untruncated)

• Preserved formatting

• Close (X) or OK button to dismiss

Viewing in Other Areas

• In Monthly Calendar, location appears in the side panel

• In Room Assignment, location is shown alongside visit details

• In list/grid views, location may appear as a dedicated column

Off-Site Location Column in List Views

A new Off-Site Location column is available in applicable list and grid views, allowing users to quickly identify visit locations without opening individual records.

• My Visits (Account Manager)

• Visit List

• Check-In Visits

• Weekly Visits

• My Schedule

 

 

Off-Site Location in Reports

• Available as a report field

• Can be used in:

  • Report columns

  • Filters (where applicable)

  • Data exports

This allows teams to analyze visits based on off-site locations.

Off-Site Location in Invitation Templates

• Available as a template parameter

• Can be inserted into:

  • Email invitations

  • Communication templates

Ensures attendees receive accurate location details in communications.

Important Considerations & Limitations

• Only visible when:

  • Off-site location is provided for a visit

  • Location field is populated

• Preview is limited to 100 characters

• Full details require user interaction (Show More)

• Location is read-only in display views

• Formatting is preserved, but font size is standardized

• If no location is provided:

  • Field will not be displayed

When does Off-Site Location appear on the Visit Card?
Only when an Off-site visit location value is provided for a visit and the field is enabled for that particular visit.

Why is my location text cut off?
The system shows a preview (first 100 characters). Click Show More to view full content.

Can users edit location from the Visit Card?
No, it is a read-only display. Edits must be made in the visit details.

Will formatting (line breaks, spacing) be retained?
Yes, formatting is preserved in both preview and full view.

Can this field be used in reports and emails?
Yes, it is available in both reports and invitation templates.
